Location

Remote, with potential nationwide travel and disaster deployment responsibilities. Relocation to Washington, D.C., may be required.

Duties & Responsibilities

  • Assists with the logistical aspects of meetings, conferences, and special events.
  • Assists with videoconferences, focus group meetings, field tests, and webcasts.
  • Contributes to marketing efforts –direct mail, radio, press, e-mail, and other channels to effectively communicate messages.
  • Contributes to the preparation of invitations.
  • Contributes to the maintenance of participant or applicant database.
  • Fields questions about registration and meeting agendas.
  • Research travel arrangements for meeting planners.
  • Track registration fees and payments.
  • Send and collect reimbursement forms for meeting participants.
  • Check honoraria and keep list of payments.
  • Contribute to the preparation, reproduction, and distribution of conference materials.
  • Research information about possible room setup, audiovisual equipment, and other on-site meeting needs.
  • Assist meeting planners on-site work including telephone, fax, transportation, and related requests from participants. Assist meeting planners in arrangements for video conferences, Web casts, focus groups, and field tests.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Organize and prioritize large volumes of information and calls.

Required Qualifications

  • Minimum Education: Bachelor’s Degree.
  • 1-2 years of Emergency Management, acquisition and grants management, disaster recovery, business process improvement, finance, and/or economics experience.  
  • Ability to function well in a high-paced environment.
  • Performs additional duties as assigned.
  • In-depth understanding of the entire Microsoft Office suite.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
  • Flexible hours as dictated by the needs of business for projects and meetings.

Preferred Qualifications

  • Proven experience as a logistics coordinator or in a similar role.
  • Experience working in a remote or hybrid work environment.
  • Master’s degree in a related field of study.
  • Knowledge and experience with Chambers of Commerce financial institutions, lending agencies, non-profit groups, and government agencies.
